Using the Waitlist Feature as a Fencer

When a tournament event reaches maximum capacity, you can potentially join a waitlist instead of missing out entirely. If someone drops out or a spot becomes available, you'll be automatically promoted onto the registration list.

If you've registered for another event in this tournament, the waitlist registration will be added to that same registration.

How to Join a Waitlist

Step 1: Encounter a Full Event With Waitlists Enabled

When looking for events to join, you'll eventually encounter an event with a max fencer cap set and waitlist enabled.

Step 2: Click "Join Waitlist"

Instead of being unable to register and seeing a crossed out event on the registration page, you'll see the event information, waitlist info, and a "Join Waitlist" button. Click this button to add yourself to the waitlist.

Step 3: Confirmation

After joining, you'll see:

  • Your position in the waitlist queue (e.g., "You're #3 on the waitlist")

  • An email confirmation with your waitlist position

Understanding Your Position

The waitlist operates on a first-come, first-served basis:

  • The first person to join is #1 on the waitlist

  • Each new person joins at the end of the queue

  • When a spot opens, the person at position #1 is automatically promoted

Warning: It is possible for a Tournament Organizer to override the default functionality of the waitlist to promote people out of order if they so desire.

What Happens When a Spot Opens

Automatic Promotion

When someone drops out of an event or the organizer increases the event capacity:

  1. You're automatically promoted to a full registration

  2. You receive an email notifying you of the promotion

  3. Your registration appears in "My Tournaments" on your dashboard

  4. Payment can be made (if the tournament allows online payment) - follow the payment instructions in your promotion email

Note: If a tournament requires payment for a registration to be valid, that tournament can not use the waitlist feature.

No Action Required

You don't need to do anything! The promotion happens automatically, and you'll be notified by email.

Checking Your Waitlist Status

On the Tournament Page

Navigate to the tournament and look for:

  • Your current position in the waitlist queue

  • How many people are ahead of you

  • Total number of people on the waitlist

On Your Dashboard

Visit "My Tournaments" to see:

  • A badge indicating you're on a waitlist

  • Your current position

  • Which event(s) you're waiting for

Leaving a Waitlist

If you change your mind and no longer want to wait for a spot:

  1. Navigate to the tournament page

  2. Click the "Register Now" button to view your registrations

  3. Find the event you're waitlisted for

  4. Click "Leave Waitlist"

  5. You'll be removed immediately

Note: Once you leave the waitlist, you cannot reclaim your position if you rejoin later. You'll join at the end of the queue.

Important Things to Know

Multiple Events

  • You can join waitlists for multiple events in the same tournament

  • Each event has its own independent waitlist

  • Being promoted from one waitlist doesn't affect your position on others

Requirements

To join a waitlist, you must meet all other event requirements to create a successful registration. The only requirement you don't need to meet is capacity—that's the whole point of the waitlist!

Expiration

Waitlist positions currently do not expire. You'll remain on the waitlist until:

- You're promoted to a full registration

- You manually leave the waitlist

- The tournament is cancelled

- The event is deleted

No Guarantees

Being on a waitlist does not guarantee you'll get a spot. Promotion depends on:

  • Other fencers dropping out

  • The organizer increasing capacity

  • How many people are ahead of you in the queue

  • The organizer respecting the waitlist order and not adding fencers out of order.

Announcement Messages

Tournament Organizers are able to send announcement style messages to everyone on the Waitlist, in case they want to inform people of new slots opening up or something similar. Keep an eye out for appropriately labeled messages!
