Bulk Registering Fencers

A quick rundown of the Bulk Registration workflow in AskFRED

AskFRED gives you the ability to add fencers to your tournament by searching our fencer database.

Select or Create Fencer

This input allows you to search for any fencer in our database, or if one does not exist, you can create a new one. Please note that this will fail if you try to create a record that we believe does already exist in the system. Membership numbers for example are unique in our system - no two fencer records can have the same one.

You can only add one fencer at a time per row, but you can click the "Add more fencers" button to add more. Or you can just submit this form by clicking "Register these Fencers" and you'll be returned to a blank screen again to fill out anew.

Add This Fencer to Event(s)

Here you can select one or more (or all) events in this tournament to add this fencer to.

Bulk Actions

This section is a suite of configuration checkboxes that will be applied to every registration and fencer in the list to the left.

Mark all as having paid the Tournament Registration Fee?

If you apply this, you're indicating the fencer has already paid the registration fee for this tournament.

Mark all as having paid Event Fees for each event?

If you apply this, you're indicating the fencer has already paid the event fee for all events registered.

Mark all as Pending?

This will mark every registration as pending, which will require your further manual intervention to resolve. Pending registrations show up in a separate section in the BC area as well as public-facing registration pages and indicate to a fencer further action is required before they are allowed to fence.

Override any registration restrictions?

This option will skip ALL registration restrictions. For example, if you have your tournament configured to be a Y14 women's event and set to require all registrations to be age restricted to correct age range and gender - if you enable this checkbox, you could register a 40 year old man to the event successfully.

The typical use case here is to manually add fencers who are perhaps not age eligible for an event, but their external points list rankings make them eligible to participate.

Skip email confirmations to these fencers?

Enabling this checkbox will skip the standard registration email sent when registering. However, this will NOT skip the User Opt In email described below.


Limitations

Bulk Registering is a very powerful feature, and to account for that, there are limitations built into the system.

Users Must Opt In

When registering a fencer that is already attached to a user account, this process will not automatically add that registration to the user account in question. The user must accept the registration, which will allow emails to be sent to them. Until then, this user will NOT automatically receive emails. This is reflected in the text seen when sending emails to all registrants.

Once you add this registration, we do immediately send an email on your behalf to let them know about this, and prompt them to accept the registration in order to pay (if applicable) and manage their registration more effectively.

We follow this path due to system abuse in the past on the Old AskFRED system and to stay in compliance with various state and federal laws in areas we operate, such as the CAN-SPAM act, COPPA, GDPR, and CASL.

Users Can Also Opt Out

Fencers are able to configure their accounts in a way that disallows anyone else from registering them on their behalf - this is true for Tournament Organizers and any normal User using the standard registration flow on a fencer's behalf, as well. If this is the case, you won't be able to successfully register this fencer when you try to submit the form.
